Course booking and learning platform

Custom software

A training provider was running courses, seat bookings, online learning and certificates across separate tools, with the office stitching them together by hand. We brought it all into one platform, connected to the store they already sell through.

The story

From the point to the layer

The pointCourses, seats and certificates lived in separate tools, and the office joined them up by hand.
The layerOne platform for scheduling, seat booking, online courses and certificates.
What changedLearners book and finish courses on their own, and the office stops chasing spreadsheets.
Who we worked with

The client

An established training provider that runs in-person and online courses for individuals and for companies training their staff. Courses are sold through an online store, and many learners need a certificate at the end.

Where it got stuck

The challenge

Every part of the process worked on its own. Put together, they created a lot of manual work:

  • Courses were sold in the online store, but bookings and seat counts were managed somewhere else
  • When a company booked several people at once, the office collected attendee names by email
  • Online course access was set up by hand after each purchase
  • Certificates and records lived in separate systems, so answering "who is trained, and when does it expire?" meant checking several places

The client wanted one connected setup, rolled out in stages so the business kept running the whole time.

What we built

01Booking inside the storeLearners and companies pick a course date and book seats as part of checkout, in the store they already use.
02Attendees captured properlyWhen one buyer books several people, each attendee gets their own record.
03Online learning connectedPaid bookings give learners access to their online courses automatically, with progress and completion recorded.
04Certificates and records in one placeCompletions, certificates and expiry dates sit against each learner, so the office can answer questions in seconds.
05A staged rolloutWe delivered it piece by piece, starting with the parts causing the most manual work, with no downtime for customers.
The process

How we worked

01We found the pointWe mapped the full journey from purchase to certificate with the team, and picked the steps costing the most time.
02We built the layerWe connected the store, the booking flow and the learning platform, then moved records across in stages.
03We kept it runningWe trained the office team and stayed on for support and the next phases.
What changed

The result

Learners book, pay and get access to their courses on their own. Group bookings capture every attendee without an email chase. The office is moving to one place to see who is booked, who has finished and whose certificate is coming up for renewal, with each stage going live as it is ready.

Can it handle companies booking several staff at once?

Yes. One company can pay for a group, and every attendee is still recorded separately.

03

Can existing online courses be reused?

Yes. Existing course packages can be uploaded and used as they are.
